Connect Lightspeed to your accounting

Connect Lightspeed to your accounting (Yuki, Octopus, Exact Online) in Belgium. I add an a la carte connector on top of your POS so the VAT is right from the start. First look free.

Connecting Lightspeed to your accounting means the sales from your till flow straight into invoices and bookings, instead of being typed over by hand. I add an a la carte connector on top of your existing Lightspeed to do that. You keep your till, you keep your accountant, and you keep your accounting package (Yuki, Octopus or Exact Online). The piece that is missing is the bridge between the till and the bookkeeping. That is the part I build on top. The VAT is then right from the start, no double bookings, nothing to correct.

Why doesn’t Lightspeed talk to my accounting on its own?

Lightspeed is a till, not an accounting package. On paper a nice chain: sales in Lightspeed, invoices next to it, then the bookkeeping. In practice they don’t really talk. Someone types the receipts over into invoices, and at the end of the month the accountant fixes the VAT because it lands as double bookings. That is not a fault, it is just the gap between two systems that nobody closed. Closing that gap is exactly what I do.

What does a Lightspeed to accounting integration look like?

I know what this looks like, because I ran it at my own place first. At Tartelier, my quiche shop and tearoom in Astene, the chain ran from Lightspeed to Lucy (invoicing) to Yuki (bookkeeping). My store manager handed me the till receipts, and I sat there turning them into invoices one by one. In Yuki the VAT landed as double bookings, and my accountant straightened it out by hand every month.

So I built the connection, step by step. Sales from Lightspeed now flow straight into invoices. The idea was simple: don’t automate blindly, lay the work out as a draft you click through. You see what is happening, you stay in control, and the boring prep is already done. Once that chain was in place, more could run on it: customers and products now flow between the tools, a WooCommerce shop included. One source of truth, no double entry.

Which accounting packages can I connect?

The Belgian packages I connect to are Yuki, Octopus and Exact Online. Where a direct connection gives the cleanest result, I do it directly. Where that isn’t the best route, it runs through a middle layer like Chift or CodaBox. What fits best depends on your package, your VAT setup and how your sales come in. I look at that first, before anything gets built.

Are you replacing my Lightspeed or my accounting package?

No. Lightspeed stays your till, your accounting package stays your accounting package. I am not a software vendor trying to sell you a new system. I add an a la carte piece on top of what you already run. SaaS is the base, in shops and hospitality too. No reason to replace it. Often a good reason to put a connector on top of it that the SaaS vendor will never build themselves, because your case is too specific.

What do you get back?

A lower accountant bill, because the VAT no longer has to be corrected. Time back, because nobody is retyping receipts anymore. And one less task for whoever stands at the counter, a task nobody misses. I won’t promise you a percentage I can’t stand behind. What I do see: the dull monthly correction work disappears, and the numbers are right from the start.

Can I invoice at the counter instead of behind a screen?

Yes. At Tartelier the connection now also runs as an app on the phone and the tablet. Scan a ticket at the counter, tap the customer, and the invoice is out the door. Installable as an app on iOS and Android, or just open it in the browser. The home screen shows this month’s count, which invoices are still unpaid, and the tickets not yet pushed through. The chain underneath stays the same: Lightspeed to your accounting.

Frequently asked questions

Can I connect Lightspeed to Yuki?

Yes. A Lightspeed Yuki integration lets your sales flow from the till straight into Yuki, without anyone fixing the VAT by hand. I add that connection a la carte on top of your existing Lightspeed and Yuki. You change nothing about your till or your accounting package, I only fill the gap between them.

Does this also work with Octopus or Exact Online?

Yes. Besides Yuki I also connect to Octopus and Exact Online. Where a direct connection works cleanest I do it directly, and where that isn’t the best route it runs through Chift or CodaBox. What fits best I look at first, based on your package and your VAT setup.

Can I automate Lightspeed POS to bookkeeping without replacing my systems?

Yes, and that is exactly the point. You keep Lightspeed and you keep your accounting package. I only build the bridge between them, so the sales flow through on their own and the VAT is right from the start. No migration, no new system to learn.

Are my invoices then created automatically?

Yes. The sales from Lightspeed get laid out as invoices you click through, or that run fully automatic if you prefer. The principle is not blind automation: you see what is happening and you stay in control. The dull retyping is simply gone.

How does the VAT get booked correctly for a hospitality business?

The VAT is right from the start because the connector puts the sales straight into the correct bookings, instead of letting them land as double entries. So your accountant has nothing left to correct at the end of the month. So there is no monthly correction work left in your accountant’s invoice.

What does a Lightspeed accounting integration cost?

I work from 100 euro per hour (excl. VAT). What a full connection costs depends on your package and how your sales come in. The first look, where I see what is going on at your place, is free, no strings.

Does this also work with a webshop in the mix?

Yes. Once the chain between the till and the bookkeeping is in place, more can run on it: a WooCommerce shop, customers and products flowing between your tools. One source of truth, no double entry. At Tartelier the webshop now runs in that same chain.
